BOARD OF DIRECTORS MEETING

June 12, 2009

The meeting was called to order by President Dick Condon at 2:20 P.M.

ATTENDING : Dick Condon, President; Doris Waugh, Secretary; Sheila Cosby, Treasurer; Lillian Estes, Purchasing Agent; Cathy Irving, Player Development; Nancy Luehring, Membership; Alicia Fetters, Game Manager; Pat Bertnolli, Publicity and Vonna Fischer, Club Manager. Absent: Pam Harris, Vice President

GUESTS: Peg Birzer, Andy Cosby, Betty Schultz, Teri LaBove, Lois Schoenrock and Tony Hofstede

AGENDA APPROVAL: Doris Waugh moved that the agenda be approved with one deletion. Motion seconded and passed.

PREVIOUS MONTH’S MINUTES: Doris Waugh moved that the minutes of the last meeting be approved. This was seconded and passed.

DIRECTORS REPORTS: Cathy Irving presented a strategy for getting the 299er players prepared for the upcoming tournament. This includes free information talks on team play, team game scoring, director calls and convention card questions. Teri LaBove questioned whether these sessions would conflict with the “lunch and play” series. Cathy also proposed a pizza party for the regular 299er Swiss game to be held on Sunday, August 2. Teri suggested that a pizza party was not necessary because finger food is always served at the game anyway. Nancy Luehring moved to okay the prep sessions. This was seconded and passed. After much discussion, Cathy Irving moved to table the pizza party until the July board meeting. Motion seconded and passed.

Cathy Irving also gave a report on the Outreach Committee. She suggested more advertising with pictures of milestones. Various special games were suggested. Pat Luehring will take Club information to the Newcomers meetings. It was mentioned that the Village Recreation pamphlet pertains mostly to the tennis groups and perhaps the club should see about getting some coverage. Nancy Luehring stated this should be left the Publicity and Advertising.

Lillian Estes requested orders for supplies be submitted in a timely manner.

Pat Bertnolli said she would try for the third time to get Bridge Plus off the calendar. She questioned the need for the quarterly newsletter. After a lengthy discussion Lillian Estes moved to table the subject to July’s meeting. Motion seconded and passed.

Sheila Cosby reported that the sectional tournament income was twice as much as other years. She also reported that messages are being removed from the board members mail slots. Nancy Luehring questioned the need for such a large amount of money in investments. Sheila explained that the table count drops in summer and this money is a back-up for upcoming expenses.

Alicia Fetters reported that the table count year-to-date is virtually the same as last year. Teri LaBove asked to change the July 299er Swiss game to the following week because of the Fourth of July holiday. This has been done.

Doris Waugh thanked Sheila Cosby for taking over as secretary while she was away.

Vonna Fischer reported she was having some difficulty finding out where to send the STAC Game results, but everything was okay now. She also stated that she is relinquishing her duties as director of the Tuesday Open game. Andy Cosby will be the new director.

Nancy Luehring reported that we now have a total of 688 members. She also thanked Dick for his recognition of the volunteers.
OLD BUSINESS: Gate passes for non HSV VCC players are sometimes a problem. Nancy Luehring has checked with the gates to make sure players are admitted. Ninety-day passes are available and are renewable.

Lillian Estes requested a discussion of a third Easybridge! session to commence in September. More information, such as days, times, etc. is needed before anything specific can be done. Andy Cosby stated that gross revenue from Easybridge! to date was $4500.

Dick Condon wants to continue the quest for a VCC Team League.

NEW BUSINESS: Doris Waugh stated that Education is the most important aspect of the Club. As such, she feels that Education and the Vice Presidency should be separate. With the Vice President being an elected member of the Board, this position continually changes. More continuity is required to keep the education programs moving forward. Cathy Irving made a resolution to make education separate from the Vice Presidency. This resolution carried.

Dick Condon reported that the Better Bridgers have moved to the Casa de Carta from the Coronado. After much discussion their game will be allowed to start at 9:30 A.M. as long as they exit the room by 12 noon. Lillian Estes will head up a welcoming group with coffee and refreshments.

Peg Birzer, who had been acting coordinator of Easybridge! submitted a letter of resignation from any official position with the group. However she will continue to be active in the program. Alicia Fetters moved that Andy Cosby become the new coordinator. This was seconded and passed.

Sheila Cosby announced that she is implementing Direct Deposit Payroll. This will save much time and money.

Lillian Estes moved to adjourn at 4:28 P.M. Seconded and passed.
