THE VILLAGE CARD CLUB
BOARD OF DIRECTORS MEETING
April 7, 2009

The meeting was called to order by President Dick Condon at 9:40 A.M.

ATTENDING: Dick Condon, President; Pam Harris, Vice President; Doris Waugh, Secretary; Alicia Fetters, Game Manager; Lillian Estes, Purchasing Agent; Pat Bertnolli, Publicity Director; Vonna Fischer, Club Manager. Mabel Serpa was present as guest Parliamentarian, but had to leave early.

ABSENT: Cathy Irving, Player Development Director; Sheila Cosby, Treasurer; and Nancy Luehring, Membership Chairman.

GUESTS: Estelle White

AGENDA APPROVAL:
Alicia Fetters moved that the agenda be approved with some additions. This was seconded and passed.

PREVIOUS MONTH’S MINUTES:
Lillian Estes moved that the minutes of the last meeting be approved as amended. This was seconded and passed.

COMMITTEE REPORTS:
Dick Condon reported that the Spring Fling Sectional was a tremendous success with 481 tables. Net income is approximately $6,000.
Estelle White, Chairman of the Constitution and By-laws Committee, proposed that a survey be done to see how the club membership feels about a given subject. This was discussed in depth but with no clear resolution.

PRESIDENT’S REPORT:
The President is considering several people for the job of parliamentarian but no final decision has been made.
Cathy Irving resigned as Publicity Director. Dick Condon has recommended her as the new Player Development Director. Via E-Mail vote on March 26, Lillian Estes moved that we approve this appointment. It was seconded and passed. Also by E-Mail on March 26 Pat Bertnolli was named as the new Publicity Director, moved to accept by Lillian Estes, seconded and passed.

DIRECTOR’S REPORTS:
Alicia Fetters announced that the Unit Board voted to discontinue using hand records for unit-wide games in the future; this being an economic decision. Winners will be scored across the unit by win percentage. Scores must be received on the same day.

Pat Bertnolli has been in contact with the Little Rock newspaper, the Democrat Gazette and the Hot Springs paper, The Sentinel, about advertising our club. They said they are anxious for our news. She also reported that The Hot Springs phone book has a list of card clubs in the area but that we are not listed. She is going to look into getting our club listed also.

Even though Nancy Luehring was absent she submitted her report. The total Village Voice circulation is approximately 7600. Village residents are 6249 households. Garland and Saline counties total 596 (this would be Jessieville and Fountain Lake.) There are 755 out-of-state subscribers. Nancy also reported that we had 35 new or return members in March.

Sheila Cosby also reported in from South Africa. She stated that the reason for the lesser revenue this year is that the Sectional income was reported in March last year and we will report it in April this year. She also wanted to give a special thanks to the directors and clerks for getting in the game reports early so she could complete the payroll before she left.

Cathy Irving sent her report via e-mail. She wanted to congratulate Dick Condon and his committee for the great Sectional. She especially wanted to thank the people on “kitchen patrol” for their outstanding work. She reported that several people commented on how nice and kind everyone from the Village was.

Dick Condon reported that next year the Village Voice newspaper will be celebrating its 40th year. He also said that it speaks well of us as a board that board members submit reports while away on vacation or some other duty. Dick asked Vonna Fischer about a record called “The Director’s Log”. Directors keep a logbook about complaints at the games. It was decided that when a player is written up in the book he/she will be informed of the write-up.

Lillian Estes has ordered more supplies. She asked for permission to buy two large coffee pots to be used for special occasions. We now have a 55 cup pot, but when large groups are involved we have to rent another pot. Lillian moved that we purchase one large pot after comparing prices. This was seconded and passed.

Pam Harris reported that she is making signs for the summer classes and that she will get a class schedule to the Village Voice.

CORRRESPONDENCE:
Thank-you letters have been sent to Vicki Jennings, Wally Johnson and Jerry Bertrand for outstanding work.

OLD BUSINESS:
There will be a special meeting on April 24 regarding the Standing Rules update.

NEW BUSINESS:
A discussion was held concerning a “special thanks” section on the bulletin board honoring and thanking those for jobs well done. Pam Harris moved this be done, seconded and passed.
A discussion was held regarding the Long Range Planning Committee. A report is needed from them as to what steps should be taken for the club’s survival.
The VCC Team League is still in the planning stage, but moving along.
A discussion was held concerning the “greening of the club”. It was pointed out that certain members have been collecting aluminum cans and plastic bottles for re-cycling for some time. It was decided that an announcement will be made asking players to leave their cans and bottles on the kitchen counter for collection.

Pam Harris moved to adjourn the meeting at 11:20 A.M. Seconded and passed.
