Job Description
TREASURER
1. In the beginning, obtain a copy of Quick Books Pro with up-to-date data base and all other necessary data files from the previous treasurer. If necessary, convert or recreate any files not immediately compatible with the new treasurer's computer. Also, obtain all folders with copies of tax returns and all financial transactions for the previous year. Also, obtain blank deposit slips, petty cash, stamps, Federal tax deposit coupon books, and the check book.
2. Secure fidelity bond for the treasurer and President.
3. Secure one year liability insurance policy for club, directors and officers.
4. Be responsible for updating the signature card and/or account registration for the Village Card Club bank account and savings account.
5. Pay all bills in a timely manner. Handle petty cash requests (over $100 needs board approval).
6. Deposit all checks or cash received into the club's checking account, unless those checks or cash have already been deposited by others.
7. Keep all deposit slips and copies of bills paid in the monthly Expenses folder.
8. Transfer money from Regions Bank to the A G Edwards Money Market Fund or vice versa to make sure that sufficient funds are available in the Regions account to cover checks but not so much that the VCC is losing significant interest. Purchase short-term CD's from the A G Edwards Money Market Fund when a greater interest rate makes that action appropriate.
9. Log all transactions into Quick Books Pro.
10. In the first few days of each month, with information provided by the payroll clerk, do the following:

Once a month, upon receipt of the Regions Bank statement, go through the "bank reconciliation" procedure in Quick Books Pro to make sure that all transactions have been accurately logged into Quick Books Pro. Correct any omissions or errors, generate a reconciliation report, and file that report in the monthly Expenses folder.
12. Prior to January 31 of each year, generate a W -2 for each employee. This is best done on-line. Forward the information to the Internal Revenue Service on W3 form after information. Also, for each contract person earning more than $600 during the year, generate a form 1099-MISC.
13. Fill out and return all annual and quarterly tax returns in a timely manner with enclosed payment if necessary.
14. Attend monthly board meetings.
15. Provide any information requested by the President, Club Manager, or the Audit Committee.
