Responsibilities.
Collection of membership fees beginning in October and ending December 31st.
Design and printing of membership application forms and yearbook.
Posting of fees and editing of member database through out the year.
Attend monthly and special Board of Directors meetings.
Notification of deceased ACBL members to ACBL for publication in monthly ACBL bulletin.
Host a booth with the help of the Board of Directors at the Community Fair.
Collection.
Post notice at VCC that membership dues are being collected October 1.
Send mass emails to unpaid members regarding membership dues with assistance from the webmaster December 1.
Send second mass email to remaining unpaid members with assistance from the webmaster December 15.
Ask Club manager to request that the directors also announce that membership fees are due. Approximately December 15.
Process payments, update members files per applications submitted on the administrative database at this time and through out the year.
Design and Printing.
Produce membership application for current year using VCC copier or at other printing location.
Design membership yearbook including, but not limited to, membership roster with address and telephone, game calendar supplied by Games Director, Board of Directors for current year, Game Directors, Game schedule, Committee Chairpersons and committee members. This should be done as soon as possible after all information is received after December 31st of the current year.
Obtain bids and make selection for Yearbook printing. Check with ACBL for any current program for cost-sharing of the Yearbook printing.
Posting of fees and editing of member database.
Membership fees should be posted to the administrative database upon receipt. During heavy collection times deposit slips, treasurers report and deposit of monies into the lockbox will be done by the Membership Director. Money received from new members after the end of the year may be deposited by the Game Directors. Membership applications will be marked and given to the Membership Director for data entry. Current parameters to delete members who have not been a member for approximately 2 years and have not played at the club will be done at the end of the year. Members who have died, moved out of the area or do not wish to be members can be deleted throughout the year.
Attend Monthly and Special Board of Directors meetings.
A report of membership status will be given at Board of Directors meetings.
Notice of deceased ACBL Members.
Notice of deceased VCC members, who are also members of ACBL, will be given to ACBL via email. Their name, date of death and ACBL number should be listed. The deceased member will then be listed in memoriam in the ACBL Bulletin.
Host a Booth at the Community Fair.
Approximately mid-September the Chamber of Commerce has a Community Fair. There is a theme every year. The Membership Director is responsible for coordinating and manning the VCC booth with the help of the other Board of Directors.
