Job Description
MEMBERSHIP CHAIRMAN
MEMBERSHIP ROSTER
Compile a roster of the membership with name, address and telephone number of paid members for the printing of the annual yearbook. Keep this list current throughout the year. Enter new member information on both computers. Post a list of Yearbook changes, additions and corrections.
Start collecting annual dues at the beginning of November until the end of January ( as many members leave town for the holidays or winter months). Have the Club Directors periodically (or frequently, or routinely) remind members “dues are to be paid” before January 31st.
YEARBOOK
Design, prepare and print membership applications. Application forms will be kept in the Supply Room for easy access by Directors, and/or replacement as needed. Printing costs of applications and Yearbook will be charged to and paid by the VCC. Paper clips may be obtained from Regions Bank.
Check with the Club Manager for names of ”members” who have not played at the VCC in the previous calendar year. Using this information and your list of members that have not paid their dues for the previous year, make contact with those named and encourage them to re-join. However, if former members cannot be contacted and did, in fact play during the previous year, they may be included in the Yearbook for one year. Former members who did not play during the previous year should also be contacted, but if they cannot be reached they may not be included in the Yearbook. Also, obtain a lists of Directors, the Table Count for the previous year, and new Life Masters ( mark names with one asterisk). Mark past presidents with 2 asterisk
Check with the Sunshine Chair to verify moves from the Village, incapacitating illness, and deaths of members.
Check with the Game Manager for the calendar for the year plus 3 months into the following year, after the calendar has been approved by the board. Also, obtain a list of scheduled games and times.
Confirm with the VCC President: 1) Board officers; 2) Directors; 3) Committee Chairs & members
Obtain bids and make selection for Yearbook printing. Check with ACBL for any current program for cost-sharing of the Yearbook printing. Distribution of the Yearbook should be no later than February 28th.
OTHER
Host a booth at the annual Community Fair, sponsored by the POA, and held at the Coronado Center.
Prepare and send a Welcome letter to new VCC members enclosing ACBL membership information.
Be the primary Board advocate to publicize the benefits of ACBL membership and to recruit VCC members to join the ACBL.
Present a Membership Summary report to the VCC Board at the November meeting
